Faculty Borrowing Privileges
The term "faculty" applies to University personnel holding faculty rank at or above the level of instructor, and to librarians and administrative "A" employees. Faculty privileges are also granted to certain research associates, professional staff connected with government laboratories located on campus, personnel with faculty rank at the Agricultural Experiment Stations, Cooperative Extension Service (with faculty rank or status), and Marine Institute. Faculty members who are officially retired from the University of Georgia retain their faculty borrowing privileges.
A picture ID is required to borrow materials from the University of Georgia Libraries. The preferred form of identification is the UGA ID card. A current, government-issued picture ID - such as (but not limited to) a driver's license, Georgia ID card, US passport, or US military ID - may be used instead.

Loan Periods - The loan period for faculty is 1 year. Exceptions include: rare books, periodicals, microforms, newspapers, Leisure Collection, and others materials. The Leisure Collection circulates for 14 days. Bound volumes of journals may be borrowed for 7 days. For more information on loan periods, check here. There is no limit to the number of items a borrower may check out, with the exception of special permission and Reserve items.
Book Delivery - Faculty may request delivery of books and bound periodicals to their department on the Athens campus. Via the GIL Find catalog, faculty may request books for pick up at the library that is most convenient for them.
Electronic Document Delivery - This service is provided by the Access Services Department. Department staff will scan copies of journal articles from print journals, and chapters or papers from print books/proceedings. To request this service, please use the request a PDF form for journal articles/book chapters. The articles will be scanned as PDFs and sent via email.
Proxy - A proxy is a representative of a faculty member allowed to charge out material for the faculty member's use. The representative must bring the Proxy Authorization Form, signed by the authorizing UGA faculty member to the Main Library to have the proxy authorization assigned.The faculty member is responsible for any charges. Permission is granted for one year; the expiration date should always be included on the faculty authorization form. Please allow one business day for processing.
This permission is extended as a courtesy to the faculty member and should be used only when obtaining materials for the faculty member to use directly. When an individual is obtaining materials for his own use, such materials should be charged out in the individual's name according to his personal library privileges. A faculty member is responsible for all materials charged to the authorization.
Renewals - 2 automatic renewals for most items. After the 2 automatic renewals, books may be brought to the Circulation Desks at Science, Main or the CML to be discharged and borrowed again. There is no limit on the number of times an item may be borrowed as long as no one else has requested it.
Recalls - Books that are checked out can be recalled. The loan period of items recalled by other users is shortened. Items being recalled should be returned as soon as possible. Recall overdue fines are $1.00 per day. Recalled items cannot be renewed.
Notices - Courtesy notices, overdue notices, recall notices, recall overdue notices and recall fine bills are sent by email. These notices are sent as a courtesy. Failure to receive a notice does not absolve the borrower from responsibility for payment of library fines/fees.
Lost or Damaged Items - Books are marked Lost after being overdue for 56 days. Faculty are responsible for fines on recalled items and for the cost of replacement of lost/damaged items. Faculty will lose library privileges for long overdue items and excessive outstanding charges on their library accounts.
Payments - Payment for library fines/fees can be made in person at the Main Library with cash, check, or credit card. Payments can also be made by mail with a check or money order paid to the order of UGA Libraries.
Library Privileges for Dependents - Spouses and children of faculty are eligible for borrowing privileges when they present a faculty/staff dependent UGACard and a completed dependent voucher signed by the sponsoring faculty/staff member.
Reciprocal Faculty Borrowing Program - This is a program of the Research Libraries Advisory Committee to OCLC that gives faculty members of participating institutions borrowing privileges and on-site access to the collections of some of the most important research libraries in North America.
